Checking in a guest

Check-in works the same way whether the guest booked ahead or just arrived at the desk - the only difference is where you start.

Checking in an existing reservation

  1. Open Front Desk → Room Grid and find the room, or search the reservation directly from the command palette (Ctrl+K / ⌘K).
  2. Open the reservation and confirm the guest's details, stay dates, and rate plan are correct.
  3. If the guest is a foreign national, capture their FRRO/C-form details on the same screen - this is required before check-in can complete for that guest.
  4. Confirm the room assignment. If a better room of the same type is free, the system may suggest a complimentary upgrade here.
  5. Complete check-in. The room's housekeeping status and the reservation's state both update immediately, and a folio opens automatically for posting charges.

Checking in a walk-in (no prior reservation)

Use Front Desk → Walk-In instead. You'll enter the guest's details and pick an available room in one flow - a new reservation, stay, and folio are all created together, so nothing needs to be backfilled afterward.

If the front desk is offline (no internet), walk-in check-in still works - the action is queued on the device and syncs automatically once the connection returns. You can see anything waiting to sync in the queued-actions drawer.

What changes after check-in

  • The reservation moves to checked_in.
  • A stay record is created (or resumed, for an already-started stay) with a room assignment - not the same thing as the reservation itself.
  • The room's operational status is available for housekeeping to track normally.
  • The folio is open and ready for charges - room rate, restaurant orders, or any other posting.
