Check-out closes a stay and hands the room back to housekeeping - it can't complete until the folio is settled.
Before you check out
Open the guest's folio and confirm every charge is posted - room rate, any restaurant orders, and minibar postings all need to be on the folio before you settle, since a folio is an append-only ledger: once checkout is complete, corrections happen as a new reversal entry, not by editing what's already there.
Settling the folio
- From Front Desk, open the stay and go to Folio.
- Confirm the balance. If the guest is paying now, capture the payment - cash, card, UPI QR, or a WhatsApp payment link, depending on what your property has set up.
- If the stay is billed to a company or travel agent under a contract rate, use the Invoice-to / Settled-by control to route the invoice and the actual payment to the right parties - they aren't always the same.
- Once the balance is zero (or correctly on account for a credit customer), complete check-out.
What changes after check-out
- The stay closes and the room becomes available for housekeeping to turn over.
- The reservation moves to
checked_out. - If the property issues GST invoices, one is generated against the closed folio - see GST e-invoicing for what happens next.
If the guest needs to leave before the folio is settled
Day-use and early-departure situations still require the folio to reach zero balance (or a confirmed on-account arrangement) before checkout completes - this is a hard gate, not a warning, since it's what keeps the night audit's numbers trustworthy.
