A lot of independent hotels run something like this: a PMS for reservations, a spreadsheet for whatever the PMS doesn't cover, and a WhatsApp group holding the rest together. Every piece might be genuinely fine on its own - the cost shows up in the gaps between them.

None of this means a spreadsheet or WhatsApp is the wrong tool for everything - plenty of hotels use both well, for things they're genuinely good at. The point is knowing which cost you're actually paying when they're standing in for a shared system: the subscription fee you don't have, or the reconciliation time you can't see until it's eating an afternoon every month.
